Businesses overhaul their business fax systems for a number of factors. Faxing is one of the office tasks that are necessary but very inconvenient. Signed letters, copies of statements and other documents need to get to offices quickly, making it a useful piece of technology, but can have many problems on the way. Paper and ink can run low, calls can be dropped and documents can disappear before they reach the right recipient. Thankfully there is a resolution to these difficulties with internet phones.

VoIP allows the faxing machine to work through the computer system rather than down a traditional phone connection. The cost of having an extra and dedicated line for the fax machine can be removed by using it in this way. The paper is fed through the machine as normal, but is instead digitalized, being converted back to a normal signal and being sent on by the fax hosting provider. The quality of an internet phone means that business fax systems can be run at the same time as a standard audio call.

It is much more efficient to retrieve a fax using this software. There are many similarities between an email inbox and the business fax systems interface as they work very similarly. It is very easy to transfer faxes around, save them as PDFs or print them for normal use. This not only makes it easier to locate inbound information, but also less likely to misplace it. With so many employees using one landline fax machine during the work day, there is always the risk of documents going missing.

There are many overhead costs that get dropped or completely ruled out with business fax systems. The line costs are an obvious one, but others include the need for paper and ink. It is a better eco-friendly option as it stops the printing of redundant materials. All messages will come through to the server, as there are also no busy tones to block messages. Then there is the fact that it doesn't take as long to do, creating more spare time for employees to fill with more tasks. Internet fax systems are another way to modernize office tasks and save money and resources.

Fax is not the only benefit of digital phone lines. It can be linked up to voice messaging and even emails, keeping all data in one place for quick referencing. A fax referencing an email or voicemail message can be filed with it for better indexing and communication. There is even the option to add comments on the system for even more clarity on the communications.
